To facilitate further expansion, we are now recruiting for an Sr. Administrative Assistant located at our Murfreesboro, TN office.

SUMMARY:

The Sr. Administrative Assistant will provide ongoing support to the Spatial Technology Group by performing various project and administrative activities. Duties will include general clerical, finance, and project based work.

Duties:

• Contacts supervisors, managers or other individuals in various work units to coordinate projects, tasks, or activities; obtains and provides schedules, time estimates, and critical path information to others as appropriate;
• Sets up and maintains up-to-date and accurate electronic or paper records, such as mailing lists, personnel information or correspondence, and other company record keeping systems;
• Communicates with internal and external customers in a professional manner;
• Utilizes independent judgment and analysis for the coordination and monitoring of specific project/tasks;
• Receives, routes, and responds to correspondence;
• Collaborates with executive project and Marketing staff in coordination and planning of proposal responses;
• Maintains and updates files; performs sorting, filing, and cross referencing of materials and documents;
• Establishes filing system for proposals, projects, contracts, and other group documentation;
• Coordinates and schedules travel arrangements;
• Prepares and maintains expense reports;
• Pulls data from accounting database and utilizes information to generate reports to track project progress;
• Coordinates project-based work and reviews, organizes, and manages contract processes;
• Other duties as assigned;


Qualifications:

• Minimum of 2-3 years of experience in a related field is required; Associate’s or Bachelor’s Degree in Business, Finance, or Accounting can substitute for the years of experience required;
• Strong Microsoft Office experience and the ability to type at least 50 wpm is required;
• Ability to plan meeting agendas and plan and prepare the appropriate logistics to support the meetings;
• Ability to work a flexible schedule and work extended hours when needed and travel overnight occasionally;
• Excellent written and verbal communication skills and ability to work well with a diverse team of people;
• Understanding of contract process, from inception, revision, and submission;
• Must be punctual to all work schedules and perform job assignments in a timely and efficient manner;
• Must be able to adjust to unexpected changes in work demand to meet deadlines;
• Knowledge of filing and records management systems and practices;
• US citizenship required;
• Applicants selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information;


Physical Activities of the Job

This job requires the following physical activities: Climbing (stairs), stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, feeling, talking, hearing and repetitive motions.

Visual Acuity Requirements of the Job

This job meets the minimum standards for use with those whose work deals largely with computer operations at distances close to the eyes.

Physical Requirements of the Job

Sedentary work involving sitting much of the time.
